When an event spans more than one day, equipment hire cannot be described fully by delivery and collection dates alone. Between them are different opening hours, changing attendance and periods when the venue may be closed. For toilet trailers, planning needs to connect use with care between sessions. This gives each occasion a clear starting point, with preparation and responsibilities already understood.
Set out operating hours for each day
List each gathering separately, with expected attendance and the hours when facilities will be needed. A small dinner and a larger reception the following day do not have the same pattern of use. Include staff working between events too. If permanent toilets are available only at certain times, record that so they are not counted as available throughout the programme.
Agree what happens between sessions
The gap between two occasions is part of the operating plan. Discuss when agreed cleaning, replenishment and technical checks can take place. The person responsible needs access to the site and utilities even when no guests are present. If the following morning begins early, its preparation should not remain a vague task to be handled “after the evening party”.
Plan tanks and utilities for the complete period
Onboard tanks and, in the case of Saronis, an independent electrical system do not mean unlimited use. Give the team the full programme so unit suitability and any intermediate support needs can be assessed. For models using mains electricity or a generator, confirm when that supply will remain available and who is responsible for it. Do not extend a one-evening arrangement across additional days without reviewing it.
Keep a straightforward handover between contacts
If the venue contact or shift lead changes, a short handover can keep practical matters visible: what was checked, what needs replenishing and who was told about an issue. It does not need to contain guests’ personal information. Keep the team’s contact details and agreed support hours alongside it. Changes to attendance or operating hours should reach the same coordinating contact.
Separate the final use from collection
The final gathering may end before breakdown is complete, while crews are still on site. Clarify how long the facilities are needed and when the exit route will genuinely be clear. If the care package or decoration changes from one day to the next, describe that in the quotation. One shared brief covering the programme, contacts and access hours is more useful than a succession of last-minute changes before each occasion.
Keep these notes
- Separate hours and attendance for each day
- Access for care between occasions
- Utility availability and agreed support
- A short handover of outstanding tasks
- Final operating period and a clear collection window
