At a corporate event, presentation or dinner, many guests may head to the restrooms at the same time. Initial planning therefore needs more than a total guest count. Whether the event takes place in a hall or outdoors, additional restroom facilities should be planned around the programme and guest movements.
Identify moments when guests move together
Note arrivals, presentation breaks, the end of dinner and the start of the party. Where guests follow a shared programme, these moments should be discussed alongside duration and attendance. That helps assess facilities and support without treating a generic capacity figure as a promise for every event.
Check which existing restrooms will be available
A venue may have permanent restrooms that are far from the event or also serve other activities. Establish which facilities will be open during your hours and who will be using them. If staff or supplier teams need separate facilities, include that in the initial brief.
Plan the space in front of the entrances
Allow space for access to the steps and for anyone who may be waiting. In a hall, the assessment also includes vehicle entry, the route to the final position and the venue manager’s requirements. A previous indoor installation does not mean every building can accommodate a trailer.
Match care arrangements to the programme
Discuss when cleaning and replenishment checks are needed, who will oversee the facilities and how an issue should be reported. Staff attendance and technical support are arranged through the event agreement. Care baskets and decoration add to hospitality, but they do not replace operational planning.
Send a short, specific brief
Share the programme, expected attendance, supplier access hours and available facilities. Add photographs and the coordinator’s contact details with their agreement. Rainbow can then discuss models, positioning, transport and care services around the actual requirements, rather than an estimate based only on attendance.
